Paws & Claws Privacy Policy
Paws & Claws (pawsandclaws.app) provides local pet-care services across Kent. This notice explains what personal data we collect, why we use it, who receives it and your rights under UK GDPR and the Data Protection Act 2018. Paws & Claws is the data controller. Contact us at hello@pawsandclaws.app.
1. What we collect
Account and contact data — your name, email address, contact number and sign-in details, or basic Google profile information if you choose Google sign-in.
Enquiry and booking data — messages you send us, the service, date, time, price, discounts and status, plus the service address and approximate map coordinates used to find suitable carers.
Pet and safety data — pet names, species, breed, age, size, identification number, vaccination status, veterinary and emergency contacts, medication, allergies, behaviour, care instructions and other needs you choose to provide.
Pet-carer data — profile and gallery photos, biography, contact details, services and prices, availability, service area, compliance checks and approval status.
Payment data — Stripe processes payments and, if enabled, provider payout details. We retain transaction identifiers, amounts, fees, refunds and payment status; Paws & Claws does not receive or store full card or bank-account details.
Technical and preference data — device and browser information, security and session records, booking drafts, accessibility settings, language and cookie choices. Optional page analytics and partner-attribution information are collected only if you consent.
2. Why we use it and our lawful bases
Contract — to create accounts, answer booking requests, match you with a suitable pet carer, provide the service, take payment, issue refunds and communicate about bookings.
Legitimate interests — to operate and improve the service, keep clients, carers and pets safe, prevent misuse and fraud, resolve complaints and maintain appropriate business records. We balance these interests against your rights.
Legal obligation — for tax, accounting, safeguarding, dispute and regulatory requirements that apply to us.
Consent — for optional analytics, partner attribution and any other activity where consent is required. You can withdraw it at any time without affecting earlier lawful processing.
3. Who can access it
We do not sell personal information. Approved carers receive only the client, pet, address, timing and safety information reasonably needed to consider or fulfil a booking. Authorised administrators can access records needed to run the business, support users and meet legal duties.
Our service providers include Supabase (database and authentication), Vercel (hosting and optional analytics), Stripe (payments and any enabled payouts), Resend (email), Google (only when you choose Google sign-in), and Photon/OpenStreetMap (address search and mapping). Impact receives partner-attribution data only if you consent.
We may also disclose information where required by law, to professional advisers, insurers or authorities, or where reasonably necessary to protect a person, pet or the service.
4. Cookies and similar storage
Essential storage supports sign-in, security, booking drafts, accessibility preferences and your privacy choice. Optional Vercel analytics and Impact partner attribution remain off unless you accept them. 5. How long we keep it
Account and active provider-profile information is normally kept while the account or working relationship remains active, then for a reasonable administration period. Enquiries are normally retained for up to 24 months.
Booking, payment, refund and commission records are normally retained for six years after the relevant financial year where needed for UK tax and accounting. Safety, complaint or legal records may be kept longer where a claim, safeguarding concern or legal duty requires it.
We delete or anonymise information when it is no longer required. A valid deletion request will be honoured except for records we must retain by law or need for legal claims.
6. Security and data minimisation
We use appropriate technical and organisational controls, including managed authentication, restricted role-based access and secure payment processing. No internet service is risk-free, so please use a secure account and contact us promptly if you believe your information or account has been compromised.
Please provide only care and safety information that is relevant. Do not place payment-card details, passwords or unnecessary information about another person in free-text fields.
7. International transfers
Some suppliers may process data outside the UK. Where this happens, we require an appropriate legal transfer mechanism and safeguards, such as UK adequacy regulations or approved contractual clauses, as applicable.
8. Your rights
Depending on the circumstances, you can request access, correction, deletion, restriction, portability, or object to processing based on legitimate interests. You may withdraw consent at any time and can complain if you believe we have handled your data unfairly.

9. Changes to this notice
We will update the version date when this notice changes. If a change significantly affects how we use personal information, we will provide an appropriate additional notice by email or through the service.
